PRIVACY POLICY

Last updated: September 2026

The Centre de formation du Nipissing (“CFN,” “we,” “us,” or “our”) respects the privacy of individuals who use its website, communicate with its team or participate in its services.

This policy explains what personal information may be collected through the website www.formationnipissing.ca, why it is collected, how it may be used and the choices available to you.

CFN follows personal information protection practices based on recognized Canadian principles, including the principles of accountability, consent, limiting collection, safeguards, openness and individual access set out in the Personal Information Protection and Electronic Documents Act (PIPEDA), where applicable.

1. Information we may collect

When you complete a form or communicate with CFN, we may collect the information you choose to provide, including:

  • your name;

  • your email address;

  • your telephone number;

  • your communication preference;

  • the training or service you are interested in;

  • your training goals or needs;

  • information related to your request;

  • in the case of an employer, the organization’s name, the contact person’s information and details about the team’s needs.

CFN seeks to collect only the information reasonably necessary to respond to a request or provide the relevant service.

Federal privacy principles require organizations to clearly explain what information they collect, why they collect it, with whom it may be shared and what consequences may result from the processing of personal information.

2. Information collected automatically

When you visit our website, certain technical information may be collected automatically by Wix or by the tools we use, for example:

  • your IP address;

  • your browser or device type;

  • the pages you visit;

  • the date and time of your visit;

  • certain information related to website use and performance;

  • information collected through cookies and similar technologies.

For more information, please see our Cookie Policy.

3. Why we use this information

We may use the information collected to:

respond to a request for information; communicate with someone interested in training; understand their goals and needs; determine whether a program or service may be suitable for them; prepare for an initial meeting; provide and administer our services; respond to employer requests; maintain the operation and security of the website; improve our content and services; and meet our legal or administrative obligations.

If you choose to subscribe to a newsletter or other promotional communications, your email address will be used for that purpose with your consent.

4. Consent

By voluntarily providing us with information so that we can respond to your request, you consent to its use for purposes reasonably related to that request.

When information is used for another purpose that requires separate consent, we will request that consent when required.

You may withdraw your consent, subject to certain legal, contractual or administrative requirements.

Consent must be understandable and meaningful. PIPEDA requires that individuals be able to reasonably understand the nature, purpose and consequences of the collection, use or disclosure of their personal information.

5. Sharing personal information

CFN does not sell personal information collected through its website.

Information may be accessible to authorized members of the CFN team who need it to respond to a request or provide a service.

We may also use technology service providers that process certain data on our behalf, including Wix, which hosts the website and provides website features.

When coordination with another organization or partner may be helpful to an individual, CFN will obtain their consent before sharing their information, unless the law otherwise permits or requires the disclosure. This approach is also consistent with CFN’s planned support process.

6. Processing by external service providers

Some technology service providers may process or store information outside Ontario or Canada.

In these cases, the information may be subject to the laws of the jurisdiction where it is processed and, in certain circumstances, may be accessible to authorities in that jurisdiction.

Organizations remain responsible for personal information entrusted to their service providers and must take steps to ensure an appropriate level of protection. The Office of the Privacy Commissioner of Canada has also recently published new guidance regarding this responsibility toward third-party service providers.

7. Retention of personal information

CFN retains personal information only for as long as reasonably necessary to fulfill the purposes for which it was collected and to meet applicable legal, administrative or funding requirements.

When information is no longer required, it is deleted, destroyed or anonymized in accordance with the organization’s practices.

Limiting retention is one of the fundamental principles of PIPEDA.

8. Safeguarding personal information

CFN uses reasonable administrative, technological and organizational measures to protect personal information against loss, theft, unauthorized access, misuse, alteration or unauthorized disclosure.

However, no computer system or method of transmission over the Internet can provide an absolute guarantee of security.

9. Access and correction

You may contact CFN to request:

access to the personal information we hold about you; correction of inaccurate information; information about how your data is used; or, where applicable, withdrawal of your consent.

Canadian privacy principles recognize, among other things, the right to be informed of the existence, use and disclosure of personal information and to request that inaccurate information be corrected.

10. Email communications

If CFN sends commercial electronic messages, it complies with the applicable requirements of Canada’s Anti-Spam Legislation (CASL).

Where CASL applies, these communications include the required identification information and a mechanism that allows recipients to unsubscribe.

The CRTC summarizes the three main requirements as follows: obtain appropriate consent, identify the sender and provide a functional unsubscribe mechanism.
